A USEFUL RECORD FROM DAY ONE

How to document a rental inspection

Use this move-in and move-out checklist to record the condition of a rental home or apartment. A landlord, property manager or tenant can start the report. Walk through the home together when possible, describe what you actually observe, and give each participant a copy.

Build the checklist around your home

Start with the entrance, living room, kitchen, three bedrooms and two bathrooms. Remove any spaces your home does not have, then include spaces such as a garage, balcony, yard or laundry room. Use Add area for a pool, roof or other part of the property. Only record places you can safely observe.

Record condition, not assumptions

Check floors, walls, ceilings, doors, windows and the fixtures or appliances provided with the rental. Choose Good, Issue, Not checked or Not applicable for each item. Nothing is marked Good automatically. Add a short note wherever useful.

Example: “Bedroom 2: small chip in the paint beside the closet door.” A specific location is easier to compare later.

Keep photos with the right room

Take a wider photo for location and a closer one for detail. Add up to eight photos per area using Choose photos or Take photo. Photos stay attached to that area and inspection stage. Delete an unwanted photo before finishing.

Compare at move-out

Save your move-in draft and download an editable backup. When you start Move-out, the room list and basic details carry over; the new observations start unchecked. The move-out document includes available move-in observations for comparison. You can also start a move-out report without a move-in record.

Review, sign and keep a copy

Record each person's comments, including any different observations. Each person signs their own section. An unsigned section remains marked Not signed; one person's signature does not stand in for the other person's agreement. After reviewing the report, download the PDF or print it and share a copy with the other participant.

Inspection checklist questions

Can a tenant use this checklist?

Yes. A tenant, landlord or manager can prepare it. Add the actual names of the people involved. Each signer should review the contents and confirm their own signature.

Can I add bedrooms, bathrooms or a custom area?

Yes. Open Rooms & areas, choose Add bedroom or Add bathroom, or type a name in Add area. Each area has its own condition entries, notes and photos. You can rename areas and add custom checklist items.

Is the PDF the same as the document on screen?

Choose PDF layout under Edit & options to review the actual pages. Easy reading uses the same content at a comfortable size on your phone. Download PDF saves the paginated document; Print opens your printer options.

Can I work offline or return later?

After the page confirms offline readiness, you can use it in this browser without internet. Save draft stores your inspection in this browser. Download an editable backup for long-term safekeeping or moving to another device. Browser data can be cleared; a PDF cannot be reopened as an editable draft.

Does this checklist decide damage charges?

No. It records observations. It does not decide responsibility, normal wear, deposit deductions or repair costs. State and local requirements, the lease and the particular facts may affect how an inspection record is used.

State requirements and references

This is a general condition record, not a certification that a home meets a housing inspection standard. Check the requirements that apply to your rental before relying on a checklist for a deposit or move-out process.

For example, Arizona's security deposit statute addresses move-in forms and move-out inspection notification. Washington's deposit statute specifies a signed and dated condition checklist. Completing this tool alone does not carry out every requirement.

HUD's landlord forms guidance describes using a move-in/move-out form to record room condition. Its sample is a structural reference, not a claim that this tool is an official HUD form.
