A clear repair history

Keep the problem, work and result together

This free landlord maintenance record helps you organize a rental repair in one document. Keep a working draft as the repair progresses, then save a signed PDF for your records.

Start with the essentials

Add the rental address, reported problem and your name. Include the resident's contact and the person or company handling the repair when useful. Update the work and status as things change.

Show before and after

Add photos to the matching repair stage. Use Choose photos or Take photo, with up to eight images across both groups. A wider view and a close-up can help explain the change.

Record what actually happened

Keep dates, work done and the next step together. For example: “October 24: replaced the kitchen faucet seal and checked for leaks. No dripping during the check.” Leave completion blank while work is in progress.

Save a useful copy

Review the document and confirm your signature. Download PDF saves a file; Print opens your printer options. Keep the original tenant request and relevant replies with the record.

Common questions

Can I save an unfinished repair?

Yes. Save draft keeps your progress so you can return with updates or after photos. You can also sign and export an in-progress record; completion details and photos are optional.

Whose name goes with the signature?

The landlord or manager preparing the record signs it. The resident's name and the assigned repair company are separate details.

Can I continue on another device?

Open Edit & options, choose Drafts & backups and download an editable backup. Open that backup in this form on the other device. Keep it private because it includes your details, photos and signature.

Do before-and-after photos appear in the PDF?

Yes. Photos appear under Before repair or After repair, in the same order as the document preview. You can change the photo size in Page settings.

How to use this document, saving and privacy
  1. Record actual receipt. Keep the tenant’s original request and copy its reference, property/unit and issue summary into this separate record.
  2. Assess and contact. Review urgency, acknowledge the tenant through your usual channel and explain the next step. The website sends no reply.
  3. Arrange the work. Assign staff or a vendor, coordinate a visit, and separately handle entry arrangements and any required notices.
  4. Track, check and follow up. Record updates, work completed, remaining issues and actual resident contact before closing internally.

Your entries and images are processed on this device. Use Save draft or enable automatic saving to keep a local copy, or download an editable backup. Saved copies are not encrypted by this tool; avoid shared devices. This website does not receive or send your completed form.

A practical record for U.S. rentals

This general template can organize requests for properties across the 50 states and U.S. territories. It does not determine legal rights, required entry notices or repair deadlines. Check your lease, management’s reporting procedure and applicable state and local requirements. It is not a statutory notice, entry authorization or waiver.

Helpful safety sources and preparation notes

Report leaks and moisture problems promptly to management. Describe what you see without assuming the cause. Never delay emergency help to collect details or photos.

Template reviewed October 24, 2026. No fixed legal deadline, fee, rent remedy or signature waiver is built into this form.

Can I keep working without internet?

Once offline readiness is confirmed, this form can reopen in this browser without a connection. Save a device draft or download an editable backup to keep your entries and photos. The other form and external links need their own first visit online. Browser storage or private browsing may limit offline use.

How do I continue on another device?

Download an editable backup, move that file yourself, and use Open backup in the matching form. The file contains personal information, photos and any signature. Keep it private. A PDF is a finished copy; the editable backup is the file you can reopen here.

Does this send my request or grant entry permission?

No. Send the finished copy through the channel your landlord accepts. Scheduling preferences and signatures do not grant entry permission. Handle appointments, entry arrangements and required notices separately.

Should I share the full landlord record?

Review internal cost, vendor and contact notes first. Keep the tenant’s original request separately. This record helps you track work; it does not automatically acknowledge a request or notify the resident.
