Scope and contact
This policy explains how FriendlyLandlord LLC, an Arizona limited liability company operating FriendlyLandlord.com, handles personal information in connection with the directory, owner accounts, business claims, website support, resident reviews, analytics, maps, and advertising. Contact info@friendlylandlord.com with privacy questions or requests. The website is intended to help people find United States properties. It does not collect rental applications or process rental payments. A property owner's website, email service, telephone system, and application or payment provider operate separately and have their own privacy practices.
Services enabled on this release
Google AdSense is temporarily paused site-wide; its loader is not emitted. It does not load on owner or resident accounts, sign-in, About, help, contact, policy, or other non-rental pages. When loaded, Google and advertising partners may receive your IP address, browser and device information, and the page URL, and may use cookies or similar technologies for ad delivery, measurement, and personalization. Use Privacy Choices to block the AdSense loader in this browser; detected Global Privacy Control and Do Not Track signals also block it. Google Analytics is not enabled. Google reviews are available for properties with separately verified Place IDs. Property pages display an existing stored snapshot automatically unless blocked in Privacy Choices. A background server job may retrieve missing snapshots for correctly verified properties within shared request and cost limits. Visiting a page or hiding/showing reviews never triggers a Google Places API request. Google API credentials stay on the server. Stored snapshots retain source attribution and their retrieval time; they may differ from current Google content. Privacy Choices can block this content. Directory maps use OpenStreetMap tiles. Optional Google Maps embeds load only after your choice. Property photographs can load from external image hosts, which receive ordinary image requests and your IP address. Saved community IDs and privacy choices are stored in your browser. Essential session cookies protect forms and owner sign-in. No renter account is required to browse or review.
Information you provide
Owner and manager accounts: we collect an email address, login credentials, a representative or business name, and the property relationship needed to administer the account. A private account telephone number is optional. Public business contact details are entered separately. Supplying an account email address or private telephone number does not authorize us to publish it in a listing. Listings and uploads: property descriptions, prices, contact information, photographs, floor plans, and other content you provide. Content you choose to publish can be viewed by the public and may be indexed by search engines or copied by other people outside our control. Claims and verification: information reasonably needed to establish your relationship to a property, along with claim status and related correspondence. Claim evidence is not public listing content. Provide only what is requested, and redact unrelated personal information. Support and complaints: we receive your message, relevant page or account details, any attachments, and information you choose to provide. Name, email address, and telephone number are optional on routine report forms. Emailing us discloses the address you send from. Without a contact method we may be unable to ask follow-up questions or send an outcome. A formal rights or legal request may require additional information reasonably necessary to verify or process it. We do not ask renters to submit Social Security numbers, credit reports, proof of income, payment-card details, or rental applications through this directory. Do not include these in a routine support email. Resident reviews: we collect the review text, rating and display name where supplied, the property reviewed, the reviewer email address, and verification and moderation records. Email is used to confirm submissions and authorize editing or deletion; it is not displayed publicly or used for marketing. A reviewer does not need a renter account. Confirming an email verifies access to that inbox, not residency at the property.
Information from other sources
Directory information may come from official property websites, public sources, authorized data providers, owners, managers, and corrections submitted by others. Some business contact information can identify a person, particularly for a small business or individual manager. We assess requests about that information under the applicable policy and law. The presence of information in a public source does not automatically eliminate all privacy obligations. The source and legal basis for publishing an item may affect how a correction or removal request is handled.
Information collected during visits
Our website and service providers may receive technical information needed to deliver and protect the service, such as an IP address, browser and device information, requested pages, referring pages, timestamps, and error or security events. Cookies and similar technologies may support owner sign-in, preferences, consent choices, and advertising. Google Analytics is not enabled. Google Maps provides optional mapping features after you choose to load it. For a property with a correctly verified Place ID, an existing stored snapshot is displayed automatically. A background server job may retrieve a missing snapshot within shared request and cost limits; visitors cannot trigger Google Places API requests. Privacy Choices can block review content. FriendlyLandlord stores verified Place IDs and requested Google review snapshots with source attribution and retrieval time; snapshots can be deleted separately from property records. Google describes its practices at https://policies.google.com/privacy and https://policies.google.com/technologies/partner-sites. Review authors and text obtained from Google are distinct from reviews submitted directly to FriendlyLandlord. We do not receive your Google account password through these features.
How information is used
We use information to provide and maintain the directory; create and protect owner accounts; assess claims; publish authorized listing content; process updates; respond to support and rights requests; investigate abuse and security problems; understand website use; display maps and attributed third-party reviews; administer resident review submissions and edit requests; and comply with legal obligations. Google AdSense and participating advertising providers process information to deliver and measure advertisements and, where permitted and subject to required choices, personalize advertising. Separate browsing data or a device identifier may be processed even when you do not have an account. We send operational messages needed for account access, claims, moderation, support, security, or material policy changes. We do not enroll account holders or reporters in marketing emails or newsletters. We do not sell account or report contact lists to marketers. Advertising-related disclosures are described separately below.
Who receives information
Public visitors receive content intentionally published in property listings and approved resident reviews. Reviewer email addresses and claim documents are not published. A review display name is public when shown with the review. We use service providers, such as hosting, email, storage, security, and accoun-upport providers, as needed for the purposes described here. Their access should be limited to the services they perform and applicable contractual and legal requirements. Google receives information through the Google services described in this policy. Google and participating advertising partners may receive browser, device, cookie, usage, or related advertising information through AdSense. Depending on the configuration and applicable law, advertising disclosures may be treated as a sale, sharing, or targeted advertising even without a cash payment for the information. We may disclose information when reasonably necessary to comply with lawful process, protect legal rights, investigate fraud or abuse, or address a threat to security or safety. We may also disclose information in a genuine business transaction, such as a merger or asset transfer, subject to applicable protections, notice obligations, and this policy. We do not operate a renter inquiry forwarding system or provide renter-to-landlord messaging. Clicking a property website link takes you outside our service. Information you submit there goes to that separate operator. A technical referral or ordinary browser request may still occur when you follow a link.
Google AdSense
Third-party advertising vendors, including Google, may use cookies to show advertisements based on previous visits to this website or other websites. Google's advertising cookies can enable Google and its partners to personalize ads, subject to applicable consent and opt-out choices. You can manage Google personalized-ad settings at https://myadcenter.google.com/ and learn about Google's use of information from partner websites at https://policies.google.com/technologies/partner-sites. Our Cookies and Advertising Choices page explains additional controls. Use Privacy Choices in the website footer to review available advertising choices and the providers enabled on the website. Refusing optional advertising processing does not require creating an account and does not prevent browsing property information. Some choices affect the ads shown rather than removing all ads.
Retention
We keep account information while an account is active and for the limited periods described below. When an authenticated account-deletion request is confirmed, we revoke sign-in sessions and listing-management access, remove the claimed label, and remove private account contact details from public display where present. We delete account profile data from active systems within 30 days, subject to the specific exceptions below. Copies of deeds and other documents supplied for claim verification are deleted when verification is completed. They are not retained as a long-term ownership file. This release does not accept verification-document uploads; if documents are necessary, support must arrange an appropriate private process and explain retention before collecting them. We retain a limited record of the verification method, date, outcome, property, and administrative decision, without retaining the document itself. Where preservation is specifically required by law, only the required material is retained with restricted access for that purpose. Application security and rate-limit records are kept for up to 30 days. Hosting-provider access, email-delivery, and security logs are controlled by the hosting provider and may follow a separate retention schedule. Ordinary support correspondence is kept for up to 90 days after the case closes. Minimal claim outcomes, content-moderation records, and account-terms acceptance records are kept while necessary for active management, then for up to 12 months after access ends or the matter closes. Minimal privacy-request records are kept for 24 months after closure. Advertising consent records are retained for the life of the recorded choice and up to 12 months after it is replaced or withdrawn, unless applicable requirements call for a different period. Records do not include unnecessary copies of identity documents or full account profiles. This application does not create routine backups of account, review, or claim-document data. Any hosting-provider backups are subject to that provider’s retention schedule; we have not verified a 30-day deletion limit for those copies. Deleted data must not be restored to normal use. If a backup is restored for recovery, deletion instructions are reapplied before ordinary access resumes. Claim documents follow the separate deletion-o-ompletion rule above. A legal obligation, active dispute, or substantiated security investigation may require narrowly limited retention beyond these periods. We record the reason, restrict access, review the hold at least every 90 days, and delete the information when the need ends. We retain a published resident review and its associated management email while the review remains available, unless a valid deletion request or another removal basis applies. A confirmed deletion request removes the review from public display and deletes its associated personal data from active systems within 30 days, subject to the limited retention exceptions described here. Limited moderation and request records follow the schedules above; hosting-provider backup copies follow the provider’s retention schedule described above. Review management links expire after 15 minutes and are usable only once.
Security
We use safeguards appropriate to the information and the nature of the service. No online service or transmission method can be guaranteed completely secure. Protect your account credentials and promptly report suspected misuse to info@friendlylandlord.com. Account credentials and private claim evidence are not public listing data. Access to them is restricted to people and service providers who need it for their assigned functions. We do not describe the website as certified, independently audited, or completely secure.
Your choices and requests
Contact info@friendlylandlord.com to ask about your personal information or request access, correction, deletion, or another applicable privacy right. Explain your request and provide enough information to locate relevant records. You do not need to create a renter account to submit a request. Depending on where you live and which laws apply to us, you may also have rights to receive a portable copy, opt out of certain sales, sharing, or targeted advertising, restrict certain sensitive-data uses, appeal a denial, or use an authorized agent. We will handle applicable requests within the required period and explain relevant exceptions or verification requirements. Verification must be proportionate to the request. We will not ask for a password. An authorized agent may need to show authority. Advertising opt-outs should not require an unnecessary identity-verification process. We will not unlawfully discriminate against you for exercising protected privacy rights. Privacy Choices provides advertising controls without requiring an account. We treat a detected Global Privacy Control signal as a request to opt out of sale or sharing and targeted advertising for that browser. We also apply a detected Do Not Track signal as a request to restrict optional advertising tracking. These signals do not delete account information, remove essential storage, or necessarily remove all ads. Statutory request and appeal rights depend on the law that applies.
Children and visitors outside the United States
Owner accounts are for adults. The service is not directed to children under 13, and we do not knowingly collect their personal information in circumstances requiring parental consent without complying with applicable requirements. Contact us if you believe a child has provided such information so we can evaluate and address it. Our directory focuses on United States properties. Hosting, email, and advertising providers may process information in countries other than your own under their applicable arrangements. We do not assume that a United States focus removes privacy rights elsewhere. Regional notices and choices required for the services actually used form part of our privacy information.
Policy changes
We will update the effective date when this policy changes. Material changes will be communicated as required by law, and any necessary additional consent will be obtained before the relevant new processing begins. Contact info@friendlylandlord.com with questions about this policy.
Questions sent to properties
Added October 16, 2026. If you choose to use a property question form, we process your name, email address, optional phone number and question to confirm access to your email and forward the question to the property contact you selected. We do not forward it before you confirm and agree to share those details. The property can reply directly to your confirmed email; its handling of information and replies is outside Friendly Landlord. Unconfirmed question content is encrypted in short-lived confirmation records. Confirmation links expire after 15 minutes. Email bodies are encrypted while queued, expire after 15 minutes if not processed, and are cleared after the mail service accepts them. Used confirmation payloads are cleared; expired records are removed by routine maintenance. Email addresses in operational records and limited anti-abuse counters may remain until that maintenance runs. Do not include identity documents, financial records, passwords or other sensitive personal information. Contact us through the existing Privacy Policy contact options with questions about your information.
Community photo contributions
When you contribute photos, we privately collect your first and last name, email, self-reported renter/owner/visitor relationship, description, optional photo date, uploaded files or submitted URLs, submission time, IP address, browser information and the permission wording/version you accept. Contact details and request information are encrypted in private submission records. Photo files are held outside the public web directory. We use this information to review property relevance and photo rights, prevent abuse and document your permission. Uploaded photos are converted to JPEG, resized and stripped of embedded metadata; original filenames are not retained. Submitted links are stored for review without automatically fetching them. All contributions wait for administrator review and are not publicly served by the submission system. Your name, email and IP address are not displayed publicly. Relationship selection does not verify residency or ownership. Unreviewed contributions expire from active submission storage after 90 days through scheduled maintenance. Hosting backups may retain copies longer. You retain copyright and grant the nonexclusive site-use permission shown on the form. Contact info@friendlylandlord.com with your reference to ask about your contribution or request removal. Sending photos does not create an account or authorize a property claim.
