Keep this record for next month

Create an account to save online, or keep an editable backup of your browser-only entries.

The backup contains all your properties and years, including deleted properties you can restore. Open it on another device to continue editing. PDF is a separate copy for viewing or printing.

A rent ledger that keeps the month clear

Record what is owed, what you received and what remains unpaid for each property. For example, $1,300.00 in rent and $1,000.00 received leaves $300.00 due for that month. Add a later payment once with Pay more, or update the received total directly.

Track housing payments and property expenses

If the rental uses Section 8 or another assistance program, keep the housing portion and tenant portion separate. Record repairs, HOA, water or your own expense names only in the months you need them. Notes explain the entries; they do not add charges.

Use it online or fill in a blank PDF

Help with payments, assistance and annual totals

Money received: enter the total received for that month. Update it directly, or use Pay more to add another amount. Use Notes for dates, late fees or anything you want to remember. Mark a whole month Vacant when no rent is due; expenses and notes remain available.

Section 8 or another voucher: turn on assistance for that property, enter the program’s agreed rent share, and enter each payer’s total received for that month separately. A program balance is kept separate from the tenant’s balance.

Monthly balances: each month compares its own rent with the total received. A different month’s debt or credit is not carried forward. Year totals summarize the entries below. Older opening-balance values remain in editable backups but are excluded from this monthly view.

Monthly expenses: open any month and add the expenses you actually paid. Choose a suggestion or type your own name: repairs and maintenance, HOA, water, electricity, gas, trash, gardening, pool service, cleaning, pest control, insurance, management fees, leasing or supplies. Each month can have a different list. Each expense has an optional note for details such as materials and labor; notes do not add to the amount paid. Use Save expenses when finished. Removed lines can be restored inside that month. Year-end expenses: enter property tax and mortgage interest for the selected year only if these amounts are not already included in monthly expenses. The annual cash difference is money received minus expenses entered; it is not a calculation of taxable income. Keep receipts and supporting records. Use Notes for dates or payment explanations you want to keep. Recorded dates for Pay more additions remain in editable backups and CSV.

Keep using the same ledger: enter the tenant’s move-in date beside their name. View year opens earlier records in this same ledger. When you return in a new calendar year, its 12 months are added automatically. Next year lets you prepare ahead. Older records stay in place; missing past years start blank for you to enter actual amounts. Monthly balances remain independent.
